The Winston County Genealogical Society met at the Winston County Archives in Double Springs.

I. Minutes:
A. Minutes from the last meeting were read. Darryal made a motion to accept the minutes
as read, seconded by Jerry, and the motion carried.

II. Treasurer’s Report:
A. Checking - $2,954.14
B. Heritage Book - $1,751.00
C. Deposits since last meeting: 2, totaling $438.05
D. Checks written since last meeting: book orders: $426.16, newsletter printing: $98.23, and
May/June sales tax: $115.26
E. Total - $4,705.14


III. Old Business:
A. Treva reported that sales tax had been paid on all books ordered. The amount is $115.26.
B. After examining our Bylaws Jerry suggested several changes and additions. They are as
follows:
l. ARTICLE IV – Section 8 - C : Add the word "written" to the sentence that says; The Secretary/
Treasurer shall collect dues, maintain a current roster of the membership of the Society, and give
a (written) monthly financial report…… This addition was voted and approved.
II. It was voted and approved for the President to appoint 3 members each year in October to
audit the Treasurer’s records and report to the membership at the November meeting.
III. ARTICLE IX – Section 1 – It was voted and approved to change "the average membership" to "the
Board of Directors".
IV. It was voted and approved to add a Conflict of Interest Policy for the Board of Directors. This
simply says if a Board member has a conflict he should disclose this and not vote on the matter.
V. Jerry is checking on Indemnification insurance for Board members and will report at the next
meeting. He is also checking on the cost of a bond for the treasurer.
VI. Jerry will add these corrections and/or additions to the Bylaws and have them at the next
meeting.
C. The cleaning of Old Lovett Cemetery was put off until a later date due to the extreme heat.

IV. New Business:
A. Ronald would like to set up a page in the new cemetery books to add corrections or additions.
For example; a burial listed on a death certificate but no headstone is in the cemetery. There
was also discussion about an end of the year project each year to update the books from obits
and possibly members adopting a cemetery to record new burials each year.
B. Carolyn has the membership lists from previous years and will bring them to the Archives to file.
C. Treva asked the members to consider purchasing Ancestry.com for the Archives for a year. Jerry
made a motion and Joyce seconded and it was approved.
D. Carolyn donated the military file of William H. Hunter to the Archives.
